Our Services may link to third-party websites or services. Those third parties are governed by their own privacy policies, not this one.
This Policy should be read together with our Terms & Conditions and any separate agreement (Order Form) between Dbotics and your organization.
Dbot Track is provided primarily to organizations, and this affects who is responsible for your data.
We collect information in three ways: information you or your organization provide, information created in the Services, and information collected automatically.
A. Information you or your organization provide
B. Information created in the Services ("Customer Data")
Depending on how your organization configures Dbot Track, this may include:
C. Information collected automatically

Under India's Digital Personal Data Protection Act, 2023 ("DPDP Act"), we process personal data on the basis of your consent and/or on the basis of legitimate uses permitted by law (for example, where you have voluntarily provided data for a specified purpose, and for the performance of our services, security, and legal compliance). Where we rely on consent, you may withdraw it at any time (see Your rights); withdrawal does not affect processing already carried out.
We use cookies and similar technologies on our websites and web app for essential functions such as maintaining sessions and remembering preferences.
We use PostHog for product analytics to understand how the Services are used and to improve them. PostHog may process usage events and device/SDK identifiers on our behalf. We may change or add analytics providers over time and will update this Policy accordingly. We do not use analytics for third-party advertising.
We do not sell personal data. We share information only as needed to run the Services, comply with law, and protect rights and safety.
Service providers / subprocessors. We share information with vendors who process it on our behalf under contractual confidentiality and security obligations:
Legal and safety. We may disclose information where we reasonably believe it is necessary to comply with applicable law or valid legal process, or to protect the rights, safety, and security of Dbotics, our customers, users, and others.
Business transfers. If we are involved in a merger, acquisition, financing, reorganization, insolvency, or sale of assets, information may be transferred as part of that transaction, subject to appropriate confidentiality protections and this Policy.
Dbot Track is hosted on AWS US East (N. Virginia). This means personal data may be stored and processed in the United States and accessed from other locations where we or our service providers operate. Where we transfer personal data outside India, we do so in accordance with the DPDP Act and applicable law, and we require our service providers to protect it under contractual safeguards.
We use reasonable technical and organizational safeguards designed to protect personal data, including:
No method of transmission or storage is completely secure. Please keep your credentials confidential and use a strong, unique password. If we become aware of a personal-data breach affecting you, we will notify you and the Data Protection Board of India as required by the DPDP Act.

How to exercise your rights.
To request deletion of your Dbot Track account and associated personal data, you must contact us by emailing privacy@dbottrack.com with the subject line "Account deletion request".
What happens next. Because Dbot Track accounts are typically created and managed by an organization, we may need to verify your request and, where the account is organization-managed, coordinate with or seek confirmation from your organization's administrator. Once verified, we will delete or de-identify your personal data associated with the account within 90 days, except where we are required to retain certain information for legal, security, or operational reasons (for example, records we must keep to comply with law, resolve disputes, or maintain security). Certain Customer Data owned by your organization may be retained by, exported to, or deleted at the direction of your organization in accordance with our agreement with it. We will tell you what, if anything, we must retain and why.
If you have any questions, concerns, or complaints about how we handle your personal data, you may contact us at:
We will acknowledge and respond to complaints within the timeframes required by the DPDP Act. If you are not satisfied with our response, you may escalate your complaint to the Data Protection Board of India in accordance with the DPDP Act.
The Services are intended for business use and are not directed to children. We do not knowingly permit the creation of accounts by, or knowingly collect personal data from, anyone under the age of 18. We do not undertake tracking, behavioral monitoring, or targeted advertising directed at children. If you believe a child has provided us personal data, contact privacy@dbottrack.com and we will take appropriate steps to delete it.
Our Services may contain links to third-party websites or services that we do not control. This Policy does not apply to those third parties, and we are not responsible for their privacy practices. Please review their policies before providing them personal data.
We may update this Policy from time to time. We will revise the "Last updated" date when we do, and, if the changes are material, we will take reasonable steps to notify you through the Services or by other appropriate means. Your continued use of the Services after an update takes effect constitutes acceptance of the updated Policy, to the extent permitted by law.

The Customer is responsible for its Users' compliance with these Terms.
We may use automation and AI/ML-based features to operate and improve the Services (for example, smart summaries, suggestions, quality checks, or anomaly detection). Where these activities involve Customer Data, we will handle it in line with these Terms, the Order Form, and our Privacy Policy. We use Customer Data (including content such as logs, photos, and files) to train or improve models only where the Customer has agreed to it; absent such agreement, we do not use Customer Data to train models beyond what is needed to provide the requested feature. Where permitted, we may use aggregated or de-identified information to improve the Services.
Each party will protect the other's Confidential Information using reasonable care and use it only to perform its obligations under these Terms and Order Forms. Standard exceptions apply (information that is public, already known, independently developed, rightfully received, or compelled to be disclosed by law).
The Customer authorizes Dbotics to use third-party providers (hosting, storage, email, analytics, and similar) to operate the Services and to process Customer Data as needed. We may change providers over time and remain responsible for them, subject to these Terms and our Privacy Policy.

If you download the App from the Google Play Store or the Apple App Store, your use is also subject to that store's terms (including, for the Apple App Store, Apple's standard End User License Agreement terms). Google and Apple are not parties to these Terms and are not responsible for the App or its content. You represent that you are not located in a jurisdiction subject to an embargo that would prohibit your use of the App and that you will comply with all applicable laws in using it.
Legal notices to us must be sent to legal@dbottrack.com. We may send notices to the Customer's primary administrator email or the email in the Order Form.
The Customer may not assign these Terms without our written consent. We may assign in connection with a merger, acquisition, reorganization, sale of assets, or to an affiliate, by notice.
Neither party is liable for delays or failures (except payment obligations) due to events beyond its reasonable control (natural disasters, war, government action, outages, provider failures, and similar). The affected party will use reasonable efforts to mitigate and resume performance.
These Terms are governed by the laws of India. The courts of Chennai, Tamil Nadu have exclusive jurisdiction, subject to any mandatory rights you have under applicable law.
These Terms, together with any Order Forms and the Privacy Policy, form the entire agreement for the project. If any clause is held unenforceable, the remainder stays in effect. A failure to enforce any provision is not a waiver of it.
